Job Summary

Assisting Managing Director/Department Managers in Managing Front office and,

administration activities, Supporting Sales, Service, Finance, Human Resources team and other functions as and when assigned.

Responsibilities and Duties

Inter-departmental Communications: Maintain cordial relations with other departments/colleagues

Key Responsibility:

Front Office Functions:

Handling Board activities (EPABX system) : Receiving & Transferring incoming calls and Fax on behalf of all departments
Maintenance of the incoming and outgoing couriers and records
Keeping track and recording all the incoming and outgoing calls; Preparation of outgoing and incoming call reports
Visitors Management
Maintain the Extension numbers, Managers Mobile numbers and update numbers in Intranet
Magazines, News papers, Florist coordination, etc.,
Administration Functions:

Coordinating for Maintenance and Housekeeping activities
Preparing list of consumables (Stationery, Housekeeping materials, Mineral water etc.,)
Hotel Room Reservations, Table Reservations for Lunch and Dinner
Vehicle Arrangements
Air & Train tickets bookings for Domestic travel
Organizing Meetings-Meeting room blocking, Arranging refreshments, etc.,
Welcome Board and Food Arrangements for Guests
Preparing MIS Reports
Secretarial support to MD
Reporting and executing day to day activities
Human Resources Functions:

Leave card and Permission slips maintenance,
Over time calculation (Co-ordination with Machine shop, Controller ,Assemble departments)
International tickets bookings, Travel insurance arrangements in co-ordination Travel agents & Department Managers (Fare comparison, Negotiation, etc)
Finance Functions:

Forex card arrangement for onsite employees in coordination with Accounts and HR team
C Form maintenance
Supporting for Export documentation work
Travel Bills checking and forwarding to accounts team
Sales and Service Functions:

Preparation of Sales Reports & documents related to Sales and Service
Track annual contracts/agreements and make reminders for renewal or relative changes

Required Experience, Skills and Qualifications



Fluency in English.
